The things people ask most — billing, trials, offline work, devices, teammates, and getting your data in and out. Can't find it? Email support.
Sign up, pick a plan, and tell us your subdomain. Apex Field Reports provisions most workspaces within one business day and emails your login. Your 7-day free trial doesn't start ticking until you're in.
On Pro and Business plans, Apex turns your raw inspection notes into a polished summary with one click. We handle the AI provider integrations — you don't manage API keys or third-party billing. AI usage is included up to fair-use limits; contact us for high-volume needs.
An inspection is one report — its sections, photos, and findings. Inspections roll over the first of each month; partial-month signups get a prorated count.
Pricing is a base platform fee plus a per-module subscription. The prices shown include one module — Starter is $24.50 base plus a $24.50 module, for $49/month all in. Add more modules at the same per-tier rate. Every module starts with a free 7-day trial.
Yes — email us and we'll adjust your plan. Limits update immediately.
We give you 30 days to export everything (PDFs, photos, inspection data). After that, your workspace is permanently deleted.
Every new module starts with a free 7-day trial. Cancel the module before day 7 and you're never charged. If you don't cancel, the trial converts to a paid subscription at your plan's per-module rate ($24.50 / $49.50 / $99.50 per month for Starter / Pro / Business). We email you before it converts so there are no surprises. One free trial per module per workspace — re-subscribing a previously canceled module skips straight to billing.
To cancel a single module, the workspace owner can unsubscribe it in-app under Workspace settings → Modules — do this before the trial ends to avoid being charged. Existing inspections in that module stay readable; only new work is blocked. For plan changes or to manage your card and invoices, use the Stripe billing portal or email support and we'll adjust it for you.
Only the Starter plan has a monthly cap (25 inspections); Pro and Business are unlimited. If you reach the Starter limit, finishing and finalizing reports already in progress keeps working — starting brand-new inspections is paused until the count resets on the 1st. If you're regularly hitting it, upgrading to Pro removes the cap.
Almost always it's signal. Apex queues your photos and edits locally and uploads them automatically once you're back online — you'll see a small indicator while anything is pending. Keep the tab or home-screen app open until it clears. If photos are still stuck after you've had a solid connection for a few minutes, email support with your workspace subdomain.
Yes. You can keep inspecting on a jobsite with no signal — the app saves your edits, findings, and photos on the device and syncs them when the connection comes back. Nothing is lost; it just catches up the moment you're online again.
Apex Field Reports is a web app — there's no app-store download. It runs in a modern browser on current iOS and Android phones and tablets, as well as on a laptop or desktop. On iPhone, add it to your home screen from Safari for an app-like experience (and so voice dictation works). No installs, no updates to push to your crew.
Dictation works in Chrome and Safari. On iOS it works in Safari once you've added Apex Field Reports to your home screen. Tap the microphone next to any long-text field and speak — your words are transcribed straight into the field.
Finalizing locks the inspection and generates the PDF, so the inspector can't keep editing it. But it isn't permanent — an Owner or Office user can re-open it with the Unfinalize action, make the correction, and finalize again to regenerate the PDF. That's the way to fix a mistake before it goes to the client.
A workspace Owner adds users in-app from the Users screen, assigns a role (Owner, Office, or Inspector), and grants the modules that person needs. Your plan sets the seat count — Starter includes 3 users, Pro 10, and Business is unlimited.
It's self-service. On your workspace login page, use the Forgot password link and we'll email you a secure reset link. No need to contact support or wait on an admin.
There are three. Owner has full access including settings, billing, and finalizing. Office can read, edit, and finalize inspections for QA, but not change settings. Inspector can create, edit, submit, and add photos to inspections, but not finalize or change settings. See the docs for details.
Yes. Every workspace is isolated — your inspections, photos, and reports live in a dedicated, per-tenant database, separate from every other customer. We don't sell your data. See our Privacy Policy for the full picture.
Every finalized inspection is a PDF you can download and share at any time — that's your portable record. If you cancel, you get a 30-day export window to pull down your PDFs, photos, and inspection data before the workspace is permanently deleted. Need a hand exporting in bulk? Email support.
Yes. Owners and Office users can disable fields you don't collect and reorder a module's sections under Modules → Edit fields. You can also upload your logo and a four-color palette under Workspace settings → Branding so every PDF carries your look. Changes apply to new reports right away — no app update needed.
